Conditions of participation
The conditions under which participation in Edubuild Summit 2026 can take place are laid down in these Conditions of Participation, the “General Regulations for Participation in, by, or in cooperation with Easyfairs Ghent”, hereinafter referred to as “General Regulations”, as well as the Internal Regulations of Flanders Expo Ghent.

Edubuild Summit is an organization of OOLA bv with its headquarters at Nokeredorpstraat 55, 9771 Kruisem (NOK).

Participation
Booking a booth is done through the online participation form at https://www.edubuild-summit.be. By reserving via the online participation form, the prospective exhibitor expressly declares that all commitments between him and the organizer relating to the fair are governed by these general terms and conditions, to the exclusion of his own general terms and conditions, even if they were drawn up later than these general terms and conditions. The organizer – in the event that any irregularities are detected – will automatically contact the (candidate) exhibitor. After reservation, the stand space and stand number will be reserved for the candidate exhibitor for 14 days from the date of application. A stand number will be definitively allocated only after approval of the quotation sent by the organizer.
Billing & payment terms
The exhibitor expressly agrees to electronic invoicing. Upon registration, the exhibitor automatically owes the registration fee according to the chosen booth module and chosen modalities. The registration fee is the full amount of the quotation.Upon approval of the quotation, the exhibitor will receive the invoice for participation in Edubuild Summit 2026. The amount due will be invoiced as follows:
- a deposit of 40% of the registration fee 14 days after the approval of the offer;
- the balance of the entry fee at least 120 days before the opening date of the fair
In case of registration by an exhibitor less than 120 days before the opening date of the exhibition, the advance and the balance will be invoiced together and the full amount of the registration fee must be paid.The organizer’s invoices must be paid at the latest within 30 days after the invoice date, net and without discount or set-off. If an invoice is issued less than 30 days before the opening date of the fair or after the opening date of the fair, such invoice is payable in cash upon receipt. If a payment has not been received before the opening date of the fair, the organization may deny a participant access to the booth. All payments must be made to the account number Belfius Bank nv – IBAN: BE93 0689 4021 5367 – in the name of OOLA bv.
Waiver of participation
In the event of the exhibitor’s waiver, the exhibitor shall be liable, by operation of law and without prior notice, for the following flat-rate termination fees:
- If the waiver is announced six months or more before the opening date, a cancellation fee equal to 40% of the total registration fee due;
- If the waiver is announced between six months and three months before the opening date, a cancellation fee equal to 75% of the total registration fee due;
- If the renunciation is announced less than three months before the opening date of the fair or after the opening date of the fair, a cancellation fee equal to 100% of the total registration fee due and, if applicable, the amount of all other invoices due to the organizer.
The waiver should be communicated by submitting the registered shipment or via email at info@oola.be.
Commissioning & evacuation of pitches.
Commissioning of booths for booth construction and set-up can take place on Wednesday 25/11/2026 between 12 noon and 10pm. The stand must be completely finished on Thursday 26/11/2026 at 9am. Exhibitors are not allowed to make the stand, panels or related publicity higher than 2.5m or to occupy more floor space than the chosen stand formula. The clearing of the stands and removal of material must take place after the end of the trade fair on Thursday 26/11/2026 between 18h00 and 24h00.
Infringements
If the above-mentioned conditions are violated, the organisers may refuse the stand space promised and paid for in advance. In the event that the stand has already been set up and decorated, the trade fair organizers shall be entitled to have this stand removed immediately and at the expense of the violator of the above-mentioned conditions, without the participant-exhibitor having any right to compensation or reimbursement of sums paid. Belgian law is applicable to these General Conditions. In case of dispute, only the court of Ghent has territorial jurisdiction.
